Electronic tracking has significant advantages over more traditional ways of keeping track of tools signed out of the tool crib.

  • Faster service for students: Signing tools out and in with a barcode and a scanner shortens the time needed to record the transaction.
  • Collecting usage data: Because every transaction is tracked electronically, we can create reports that display how often a tool was signed out. This helps to decide if an item can go into storage and when it needs to be replaced.

  • History: Every item tracked has a history attached to it. We can find out who used the tool on what day
  • Organization: By adding information about the storage location of an item we can enable attendants unfamiliar with the tool room to find a tool and place it correctly after it is returned

The day to day operations require almost no other input aside from scanning barcodes.

For the accuracy of the data collected, all transactions must be recorded. Only when everyone, including staff and instructors, uses the system we can make useful decisions about the storage and placement of tools.
